COVID-19 (SARS-CoV-2) vaccination expectations for the AARNA Bangalore workplace, visitors and trade travel.

Definition

In this policy, "Vaccine" means full vaccination against the COVID-19 (SARS-CoV-2) coronavirus disease, as recognised by applicable Indian public health authorities. Booster doses, where recommended by those authorities, are treated as part of staying current with Vaccine status.

Who this applies to

This policy applies to AARNA EXPORT team members, contractors and on-site visitors at our Bangalore, Karnataka, India workplace, and to staff travelling for farm visits, port work or buyer meetings.

Workplace expectation

  • Team members working from the AARNA desk or visiting origin facilities are expected to be fully vaccinated
  • Proof of Vaccine status may be requested before office access, site visits or company-arranged travel
  • Buyers and partners visiting our workplace may be asked to confirm Vaccine status in advance
  • We follow applicable central and Karnataka public health guidance, which may change

Exemptions and privacy

AARNA EXPORT is the data controller for this website. We process personal data to respond to export inquiries and to run aarnaexport.com. This notice follows the spirit of India's Digital Personal Data Protection Act, 2023.

Trade

Trade and inquiry terms

How quotations, payment, Incoterms and aftercare work before a shipment is locked.

An inquiry starts a conversation. It is not a purchase order. We aim to reply within 24 business hours with spec confirmation, indicative lead time and a quotation path.

Quotations

  • Quotes are indicative until lot, packing, documents and Incoterms are confirmed in writing
  • Price, grade and lead time can move with season, origin belt and freight
  • Samples, private label and organic lots follow the plan agreed after shortlisting

Payment

We typically accept Telegraphic Transfer (TT) and Letter of Credit (LC). Standard commercial terms are 30-50% advance with the balance before shipment. Exact terms depend on order size, destination and relationship history.

Incoterms, risk and clearance

Incoterms (for example FOB, CIF or others) are agreed per order. Unless we agree otherwise in writing, the buyer handles import clearance, duties and destination regulations. Origin documentation is prepared to the agreed commercial set.

Aftercare and claims

Post-arrival support, tracking questions and reorders stay on the same inquiry thread. Any claim should include lot references, photos and arrival notes so we can investigate quickly.

Grading, packing and the document set we prepare for export cargo.

Lots are shortlisted by grade, season and packing capability. Pre-shipment checks align with buyer specs before cartons leave the facility.

What we check

  • Grade, sorting, moisture and packing standards agreed on the quote
  • Export-ready cartons, bags or retail packs as specified
  • Cold-chain or dry cargo handling matched to the product

Documents

The usual commercial set includes invoice, packing list, bill of lading or airway bill path, certificate of origin and phytosanitary paperwork where required. Buyer-specific certificates (including organic-grade documents when a lot is confirmed organic) are planned at inquiry stage.

Organic lots

Organic product lots are available on request. We confirm organic-grade availability and documentation before locking the shipment - we do not label a conventional lot as organic.

No bribes, no false lead times, no one-off shortcuts that damage trust.

AARNA EXPORT prefers honest lead times over empty promises and reorders over one-off deals. Team members, agents and partners acting for us must not offer or accept bribes, facilitation payments or falsified documents.

What we expect

  • Respectful communication with farms, processors, logistics partners and buyers
  • Immediate flag if a grade, delay or document risk appears
  • No misuse of buyer or supplier data outside the trade at hand
